Privacy Policy

Last updated: July 17, 2026. This Privacy Policy explains how Belvoir Property Management Inc. (“Belvoir”, “we”, “us”, or “our”) collects, uses, discloses, and protects personal information in connection with belvoir.ca and related services (the “Site”), venue inquiries, events, and employment applications. We process personal information in accordance with Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and other applicable Canadian privacy laws.

1. Who we are

Belvoir operates historic manors and event spaces in Quebec. Our headquarters are at 4521 Avenue du Parc, Montréal, Québec H2V 4G9. For privacy questions or to exercise your rights, contact us at (450) 920-1500 or via the Contact page on the Site. You may ask to be directed to the person responsible for the protection of personal information within our organization.

2. Personal information we collect

Depending on how you interact with us, we may collect: identity and contact details (name, email, phone, postal address, organization); event details (preferred venue, dates, guest count, type of celebration or retreat, special requirements); communication content (messages you send through forms or email); employment application information (CV, work history, and related materials if you apply for a role); technical and usage data (IP address, browser type, device identifiers, pages visited, approximate location derived from IP, and similar analytics); and newsletter preferences if you subscribe.

We do not knowingly collect personal information from children under 14 without appropriate authorization. If you believe we have done so, please contact us so we can delete it.

3. How we collect information

We collect information directly from you (forms, email, phone, in-person), automatically through cookies and similar technologies when you use the Site, and occasionally from service providers who process inquiries or analytics on our behalf. If you provide personal information about other people (for example, co-hosts or guests), you confirm you have the authority to do so.

4. Purposes of use

We use personal information to respond to inquiries and prepare proposals; manage bookings, contracts, deposits, and event logistics; operate, secure, and improve the Site; send transactional messages related to your request; send newsletters or marketing communications where permitted (you may unsubscribe at any time); evaluate job applications; comply with legal and accounting obligations; and establish, exercise, or defend legal claims.

5. Consent and legal bases

Where required, we rely on your consent (for example, optional marketing emails or non-essential cookies). We may also process information as needed to perform a contract with you, to take steps at your request before entering a contract, to meet a legal obligation, or for legitimate interests that do not override your rights—such as securing our systems and understanding how the Site is used—subject to Quebec privacy law.

6. Disclosure to third parties

We may share personal information with venue staff and affiliated entities involved in delivering your event; service providers who host our Site, email, CRM, analytics, or IT systems under contractual confidentiality and security obligations; professional advisors (legal, accounting, insurance) when needed; and authorities when required by law or to protect rights, safety, or property. We do not sell your personal information.

7. Transfers outside Quebec

Some service providers may store or process information outside Quebec or Canada. When we do so, we take reasonable measures—including contractual safeguards—to ensure an adequate level of protection consistent with applicable law, and we assess privacy risks associated with such transfers as required.

8. Retention

We retain personal information only as long as necessary for the purposes described above, including legal, accounting, and claim-related retention periods. When information is no longer needed, we destroy, anonymize, or securely archive it according to our retention practices.

9. Security

We implement reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls and secure hosting. No method of transmission or storage is completely secure; if a confidentiality incident presents a risk of serious injury, we will notify affected individuals and the Commission d’accès à l’information du Québec as required by law.

10. Cookies and similar technologies

The Site may use cookies and similar technologies that are necessary for the Site to function, as well as analytics or preference cookies. You can control cookies through your browser settings. Blocking some cookies may affect Site functionality. Additional details about cookie categories may be published separately as our cookie practices evolve.

11. Your rights

Subject to applicable law, you may request access to your personal information, correction of inaccurate information, withdrawal of consent for optional processing (without affecting prior lawful processing), and, where applicable, de-indexation or other rights recognized under Quebec Law 25. To exercise these rights, contact us using the details in section 1. We may need to verify your identity before responding. You may also file a complaint with the Commission d’accès à l’information du Québec.

12. Changes to this Policy

We may update this Privacy Policy from time to time. The “Last updated” date will reflect the latest revision. We encourage you to review this page periodically. If changes are material, we will provide additional notice where required by law.
